    Exec Minutes 25 October 2011

    Note: In Scott’s absence, Ana presiding.

    1. Finance:
      1. Website?  Ana working on streamlining components.  Make available pdf for funding requests? 

                                                   i.     Q & A about nature of alterations to forms

                                                  ii.     Decisions about forms:

    1. eliminate M.A./Ph.D program box from both forms
    2. add itemized budget box to travel forms
    3. add description of  event box to event forms
    4. add “how does this benefit your research at Penn” box to travel
    5. add vendor phone number box to both
    6. Evelyn asks John re: our SAS Finance meeting, Dorothy and Babs requested that we create a Penn-letterheaded award letter to funding recipients to help streamlining their office.

                                                   i.     John will create this letter; Ana has the letterhead.

    1. Need to publicize the schedule for grant application deadlines (which is: the Sunday before the Tuesday GB meets, so alternating Sundays, and the applicants will hear back before the Sunday following.)
    2. Question raised: for future uses, should we implement in the constitution an official statement about the inability for students to apply for (a) retroactive funding, especially for events/travel occurring (b) outside the fiscal year (i.e., Summer)?

                                                   i.     Finance chair felt his a strong enough voice to deter requests of that nature, and as such a constitutional amendment isn’t a pressing matter.

     

    1. Social:
      1. Friday Pattaya happy hr a success.  Ran out of food fast (first 10 minutes), possibly because of the 150+ in attendance!  Alcohol supply perfectly rationed however.
      2. Next Happy Hour: 11-11-11, 5:30-7:30, shooting for the same room.  Food TBD.  More info TBD.
      3. Ana asks Gabe re: facebook page?  Would allow for inter-Weeklies Social announcements, for e.g., without having to send additional emails.  Ana will deactivate current (very old) SASgov facebook group.  Gabe will create a fresh, new SASgov facebook page.
      4. Nextnext Social event will be the Scrabble Olympics.  Will be end of November, before Thanksgiving.
      5. Ana will nag Gabe to remind him of his homeworks.
    2. Communications:
      1. Do I announce the TBD Happy hr?  Yes, but vaguely.
      2. Announce that “funding is officially open, GO!” both for SAS travel and events.

                                                   i.     In the event of further funding requests sent to Evelyn, she should reroute the requesters either (a) to their dept rep, or (b) to the website.

                                                  ii.     Evelyn should also announce in the weekly that the next funding deadline is Sun Oct 30 at 12midnight, the next Sun Nov 13 at 12midnight.

    1. Public Affairs:
      1. Ana is going to put up (1) attendance records and (2) G.B. minutes and (3) exec minutes on the website.
      2. Ana will nag Gabe lovingly.  Or not lovingly.  She will nag him ideally.
    2. Policy:
      1. Penn Park problem solved!  (No thanks to Will, geez).  The solution put briefly: the student charges/exclusions were never supposed to have existed at all, rather were in clerical error.  The result of misinformance.  All registered student groups should have access to reservations fo frizzle.

                                                   i.     Evelyn will announce this in the weekly.

                                                  ii.     Evelyn asks if SASgov might develop a means by which we can ‘sponsor’ students not enrolled in a registered student group to make said reservations.  Perhaps.

                                                iii.     GRAD STUDS with BayBays:

    1. GAPSA needs just such reps to partake in upcoming surveys concerning insurance
    2. Will to bring forth ideas from SASgov reps, E.g., Dennie Zastrow (who was a Penn undergrad) changed healthcare coverage from his position with GLBTQQ
    3. Will learned from Dennie things like advice on how to sell these insurance policy changes to the board, and suspects other SASgov reps might have insight also.
    4. Will’s committee discussed further “parents” issues such as gender differences in resources for male/female parents. 
    5. Anita Mastrioni a great resource as creator of FRC and the family grant program.
    6. Given no new business, Motion to adjourn.
